Privacy Statement — Djinni App

SpectralBot is committed to protecting the privacy of our users. This Privacy Statement explains how we collect, use, and disclose information through our mobile application, the SpectralBot Djinni app (hereinafter referred to as the “App”).

1. Data controller

2. Information we collect

SpectralBot collects various types of data through you use the App. This data collection is essential for the optimal performance of both the App and the cloud infrastructure supporting it (hereinafter referred to as the “SpectralBot Cloud”). This data includes:

  • User Data: information about the individual user interacting with the App and SpectralBot Cloud, such as your name, login credentials (if applicable), contact details and usage patterns.
  • Customer Data: Information about the entity or organization for which the App is deployed (e.g. system integrator or installer), such as company name and contact details.
  • System Data: Details about the system, being the collection of devices how the devices are configured and how they are interconnected (hereafter referred to as “System”).
  • Device Data: Information about the hardware components and equipment interacting with the App (hereafter referred to as “Device”), such as device type, unique identifiers, status information, key indicators and alerts.

3. Who has access to your personal data, and why?

Only a limited number of people, such as the staff of SpectralBot, have access to your data. To guarantee the protection of your personal data, they are subject to a range of (contractual) obligations.

SpectralBot does not sell, trade, or rent your personal information to third parties. SpectralBot may share your information with trusted third-party service providers who assist SpectralBot in delivering and improving the Application. These service providers are contractually bound to maintain the confidentiality and security of your information.

If one of these service providers is based outside the European Economic Area, SpectralBot will only pass on your personal data if an adequate level of protection is provided, and the service provider offers sufficient guarantees regarding the security and protection of the personal data.

Finally, Spectralbot will not make your personal data available to third parties for commercial and/or advertising purposes, unless you have given Spectralbot your explicit permission to do so.

We use the personal User Data information we collect for the following purposes:

  • To provide and maintain the core functionalities of the App and SpectralBot Cloud, including system administration, user support services, and remote assistance.
  • To communicate with you, to respond to your inquiries and support requests, and to send you important updates and notifications related to the App and SpectralBot Cloud.
  • To analyse historical data to improve the performance, functionality, and usability of the App and the SpectralBot Cloud.
  • To assist in troubleshooting technical difficulties and ensure system stability.
  • To comply with legal requirements and industry standards, and to enforce SpectralBot’s licence terms.

4. Who has access to your system and device data, and why?

Only a limited number of people, such as the staff of SpectralBot, have access to your data. To guarantee the protection of your personal data, they are subject to a range of (contractual) obligations.

SpectralBot may share anonymized System Data and Device Data to a limited list of trusted third-party service providers, specifically:

  • System Data may be shared with the customer, the system integrator or installer of the System.
  • Device Data may be shared with the Manufacturer of the Device.

We use the anonymized System Data and Device Data information we collect for the following purposes:

  • To provide an overview of the System and its Devices, including device configuration information and settings, membership information, log entries, …
  • To allow the customer, the installer, or system integrator to communicate with you, to respond to your support requests, and to send you important updates and notifications related to the System and the Devices in the System.
  • To analyse historical data to improve the performance, functionality, and usability of the System and the Devices.
  • To assist in troubleshooting technical difficulties with the System and the Devices.
  • To collaborate with device manufacturers to enhance compatibility with the SpectralBot Cloud.
  • To comply with legal requirements and industry standards, and to enforce SpectralBot’s licence terms.

The anonymization process ensures that the shared System and Device Data cannot be traced back to any individual user.

These service providers are contractually bound to maintain the confidentiality and security of the information.

5. Data Residency

We understand the importance of data privacy and security. Therefore, customers and licensees can choose to store the data within a specific geographic region for greater control and compliance with relevant data privacy regulations.

Regional Storage is available upon request, while Multi-Regional Storage (distributed across multiple regions) is the default for faster accessibility, improved redundancy and better disaster recovery.

6.   Security

We take reasonable steps to protect your information from unauthorized access, disclosure, alteration, or destruction. However, no internet transmission or electronic storage is completely secure.

7.    Changes to this Privacy Statement

We may update this Privacy Statement from time to time. We will notify you of any material changes by posting a new version on the App or our website.
